  6. Scheduled transport FAQ

Scheduled transport starts with a timetable showing when and where people need the car, not simply the words “full day”. Include each pickup, appointment, waiting period and final drop-off.

A morning collection followed by an evening return is different from a vehicle staying with the group between meetings. Explain what happens between the first and last journey.

For a repeating schedule, give the operating dates and any days with different times or destinations. A request for one date does not establish availability for the whole series.

Nominate someone who can update the plan. If the organiser will not travel, add a contact at the pickup or venue who knows which passengers should be there.

Turn the schedule into usable trip details

Schedule Details that change the arrangement
Several meetings Addresses, access gates, appointment times and whether the car waits at each stop.
An event Guest collections, required arrival time, possible finishing window and return drop-offs.
A recurring journey Dates, days off, passenger changes and any different return times.
More than one day A separate plan for each day, overnight location and periods when no car is needed.

Put the places in travel order. If a time is still provisional, mark it as such rather than giving an arbitrary time that other people may treat as agreed.

Plan the vehicle for the busiest leg

Count the passengers on each leg, not just those at the first pickup. Someone joining after lunch still needs a passenger seat. Include children, accompanying helpers and equipment that will be loaded later.

List luggage and bulky work items together. Ask about the seats and storage on the proposed vehicle; a larger category name does not establish the room available with all seats in use.

For a visiting delegation, the business transport planning guide also covers venue contacts and changes made by somebody booking on the passengers’ behalf.

Check the agreed hours and journeys

Read the proposal against your dated timetable. It should be clear whether the car waits, leaves and returns, or carries the group between destinations. Ask what happens if an appointment finishes late or an extra journey is requested.

Discuss the total for the stated plan, what is included and any separately handled costs. If an invoice or particular paperwork is needed, raise that requirement before accepting the arrangement.

Keep recurring plans up to date

Use one current timetable. When a date, pickup or passenger count changes, send the revision to the booking contact and wait for the changed arrangement to be agreed. A message from a passenger at a venue should not leave the organiser working from an older plan.

For an event, choose a person who can say when the group is ready to leave. Share the return meeting point with guests before they separate, especially if the vehicle cannot wait at the entrance.

Send the schedule for discussion

Send your transport dates and timetable or call 0789.711.711. Mention the parts that are not yet settled so the proposal can distinguish planned journeys from later additions.

Scheduled transport FAQ

What details should be included in a scheduled transport timetable?

A timetable should show each pickup, appointment, waiting period, final drop-off, operating dates, and any days with different times or destinations.

How should provisional times be handled in the schedule?

If a time is still provisional, it should be marked as such rather than giving an arbitrary time that other people may treat as agreed.

The vehicle is planned for the busiest leg by counting the passengers on each leg, including those joining later, children, accompanying helpers, and equipment.
