  6. Business and Expert Transport FAQ

Business and expert transport needs the details a visiting passenger may not have: the correct entrance, the host’s contact and the time they must be at a meeting. Start with those before selecting a vehicle.

If you are booking for a colleague or guest, identify who will answer at both ends. The person approving the trip may be in an office while the passenger is at an airport or hotel.

Describe language, greeting or paperwork needs as requests. Ask what can be arranged for the actual journey rather than assuming those services come with a business-car label.

For several visits, send the complete sequence and explain whether the car should wait. A transfer to a factory gate and a vehicle supporting meetings all day are different arrangements.

Give the passenger and host a shared plan

  • Passenger name, travel date and a contact they can use during the trip.
  • Hotel, airport or office pickup, including the entrance or lobby.
  • Destination gate, appointment time and host’s phone number.
  • Further meetings, waiting periods and the final drop-off.
  • Passenger count, suitcases and work equipment.

Ask the host whether visitor registration or instructions for entering the site are needed. Send the relevant information before the travel date; the place marked on a map may not be the gate a vehicle can use.

Select around the passengers and their equipment

A guest with one suitcase and a team carrying presentation equipment need different packing arrangements. Give the total load, including items that must remain upright or cannot fold. Check the passenger seats and luggage space on the proposed car.

If someone has difficulty getting in or out, explain the need without relying on the vehicle category to provide an answer. Ask about any specific seating or access requirement that affects the trip.

Agree the handover, waiting and quote

Before accepting, compare the proposal with the appointment schedule and the required vehicle arrangement. Check where the passenger meets the car and who can approve a change if a meeting runs late.

If you need an invoice, purchase reference or particular payment documentation, send the requirement and ask what is possible. Include relevant waiting, additional journeys and separately handled costs in the discussion.

When the visitor arrives by air

Send the flight number, date, terminal and the passenger’s onward address. Ask how the passenger should make contact after collecting luggage; landing time is not a meeting time.

If a name sign or a particular language would help the guest, request it and check the reply before telling the passenger it will be provided. The airport transfer guide explains the other arrival details to prepare.

Make changes through one contact

Appoint someone who can agree changes in timing, destinations and cost. Give that person’s contact to the traveller and the on-site host. Share the trip information needed for the arrangement, rather than forwarding unrelated guest documents.

For repeat visits, read the scheduled transport guide and send each date’s differences. A previous journey’s vehicle or terms should not be assumed for a new booking.

Send the guest’s business transport itinerary or call 0789.711.711. Keep a final copy that the organiser, passenger and host can all follow.

Business and Expert Transport FAQ

What initial details should be established before selecting a vehicle for business transport?

You should start with the correct entrance, the host's contact, and the time the passenger must be at a meeting.

How should special requests regarding language, greetings, or paperwork be handled?

They should be described as requests rather than assuming those services come automatically with a business-car label.

What shared information should be given to both the passenger and the host?

A shared plan including the passenger name, travel date, contact for the trip, pickup location with entrance or lobby details, destination gate, appointment time, host's phone number, further meetings, waiting periods, and final drop-off.

How should airport arrivals be coordinated when booking business transport?

Send the flight number, date, terminal, and onward address, and ask how the passenger should make contact after collecting luggage, as landing time is not a meeting time.

Who should be appointed to manage modifications during the trip?

Appoint a single contact person who can agree on changes in timing, destinations, and cost, and provide that person's contact to both the traveller and the on-site host.
